My whitepaper writing process

Creating a compelling whitepaper isn’t something that can be done in a few days. It’s an iterative and collaborative process consisting of interviews with subject matter experts and multiple rounds of feedback. However, whether you’re looking for a comprehensive introduction to your product, a numbered list covering a topic in depth, or a problem/solution whitepaper, I’m here to help you each step of the way.

Here’s my recommended whitepaper writing process:

  • We’ll start with a kick-off call to discuss your project and its goals
  • We’ll work together to complete a detailed development brief
  • I’ll create a detailed plan and outline of your whitepaper
  • I’ll create a complete first draft based on the first round of feedback
  • I’ll provide one major revision round and a follow-up interview
  • I’ll provide up to two minor revision rounds to reach the final milestone

I’m ready to collaborate with you and your team in a professional, flexible, and friendly way to ensure that the whitepaper process goes as smoothly as possible. I can help you clearly define your needs and goals to create long-form authority content that makes a lasting impact.

Frequently asked questions about my whitepaper writing services

Professional whitepaper writing services help set you apart from your competitors with in-depth, high-quality content that builds brand authority, trust, and engagement.

Crafting a high quality whitepaper is an iterative process that typically begins with a kick-off call and a comprehensive content development brief. After that comes the outlining and drafting stages and, finally, one or two revision rounds.  The best whitepapers tend to include proprietary research and quotes from subject matter experts.

I don’t provide design services. However, I’m happy to source images or take screenshots at no extra cost where appropriate. Please note that I cannot purchase images from fee-paying websites like Getty Images or Shutterstock, but I can provide recommendations.

My standard writing style is professional but accessible. However, I’m always happy to work according to your brand’s individual tone and style. I can write in either US or British English.

There are various proven ways to promote your whitepapers, including email and social media marketing and creating a compelling landing page. I also recommend investing in supporting and derivative content in the form of blog posts.

Since my availability can vary significantly, I can only guarantee the turnaround times specified in my proposals or retainer contracts. It’s important to remember that creating a whitepaper is a complex and iterative process that relies on several rounds of feedback. However, in most cases, I find it takes around 3 to 4 weeks to create a whitepaper.

Whitepapers come in three main forms: Backgrounders detail the technical features of a new product or service, numbered lists highlight key takeaways of a topic area, and problem/solution whitepapers identify and address specific audience pain points. If you’re not sure which one best suits your current content marketing priorities, I’ll be happy to help you decide.

Although whitepapers are typically longer and more in-depth than blog posts and other formats, they should never be longer than necessary. However, as a general guideline, most whitepapers come to between 6 and 12 pages (1,500 to 3,000 words) in their final form.

When and how often you publish whitepapers depends on factors like how regularly your industry changes or whether you’re making any major changes to your products or services. Usually, the best time to publish a whitepaper is when you want to promote a new product or service, you’re targeting a new audience demographic, or there’s a newsworthy event that impacts your industry.

You can measure the success of your whitepapers by tracking metrics like downloads, shares, number of leads captured, and website traffic.

While both whitepapers and eBooks are types of long-form content, whitepapers are typically more focused on presenting a solution to a specific problem, while eBooks serve as extended guides on a topic for more general audiences.
